About the Role We are seeking a highly organized and proactive Remote Office Administrator to support our distributed team in maintaining smooth daily operations. In this fully remote position, you'll serve as the go-to person for administrative coordination, helping keep our fast-paced environment efficient and collaborative. This role reports to the Operations Manager and works closely with HR, finance, and department leads.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate virtual events across time zones using tools like Google Workspace, Microsoft Teams, and Asana

  • Handle email triage, correspondence, and digital file organization/maintenance

  • Perform accurate data entry, maintain records/databases, and generate basic reports (e.g., expense tracking, team metrics)

  • Facilitate inter-departmental communication and support onboarding/offboarding processes

  • Order office supplies (virtual/remote setup items), track inventory, and manage vendor relationships

  • Assist with light HR tasks, such as updating employee records and coordinating benefits enrollment

  • Handle ad-hoc administrative projects to support company growth and remote team success

Qualifications

  • 2+ years of experience in office administration, executive support, or similar role (remote experience preferred)

  • Exceptional organizational skills with meticulous attention to detail

  • Strong written and verbal communication skills; comfortable in asynchronous environments

  • Proficiency in Google Workspace (Docs, Sheets, Calendar), Microsoft Office/Teams, Asana or similar project tools

  • Ability to work independently, prioritize tasks, and thrive in a fast-paced setting

  • Valid U.S. work authorization required

Preferred Skills

  • Experience with remote team tools (Slack, Zoom, Notion)

  • Familiarity with basic HRIS or CRM systems

  • Previous support in tech/SaaS or nonprofit environments
